Role Description

Shelter Movers is a national, volunteer-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence. Every year, in collaboration with community partners, our volunteer teams contribute tens of thousands of hours across Canada to support people transitioning to lives free of violence and abuse.

PURPOSE OF YOUR ROLE
The Philanthropy Coordinator plays a central role in supporting the effectiveness, organization, and day-to-day coordination of Shelter Movers’ philanthropy program. Reporting to the Senior Director of Philanthropy, this role helps keep fundraising activity organized, well-tracked, and moving forward by supporting prospect research, grants and opportunity coordination, stewardship tracking, donor database upkeep, reporting, and team workflow.

This position is ideal for a highly organized and proactive fundraising professional who enjoys building systems, keeping priorities moving, supporting donor strategy, and strengthening team effectiveness behind the scenes. The Philanthropy Coordinator works closely with the Senior Director of Philanthropy, Senior Manager of Philanthropy, Associate Director of Events and Community Engagement, CEO, and colleagues across local chapters across Canada to strengthen fundraising operations and enable frontline fundraisers to focus more time on relationship-building and revenue generation.

YOUR FOCUS
Prospect Research and Portfolio support
  • Conduct prospect research and preliminary qualification to support donor, corporate, and foundation fundraising strategies
  • Prepare prospect profiles, donor research, briefing notes, and meeting materials for frontline fundraisers
  • Support moves management by entering qualified prospects, opportunities, actions, and relevant notes in Raiser’s Edge NXT
  • Assist with maintaining accurate and up-to-date donor and prospect information, including biographical details, contact reports, relationships, and next steps
  • Support scheduling and coordination of selected donor and funder meetings for the Senior Director of Philanthropy and CEO
Grants and Stewardship Coordination
  • Maintain and update calendars of grant deadlines, proposal submissions, reporting requirements, and stewardship commitments and enter and track in Raiser’s Edge NXT 
  • Coordinate and track donor recognition and stewardship commitments to help ensure timely and accurate fulfillment
  • Assist with the preparation and assembly of grant proposals and reports, including gathering attachments, background materials, budgets, and supporting documents
  • Maintain shared fundraising resources and application support materials, including templates, governance documents, financial reports, annual reports, impact language, testimonials, and images
  • Draft and coordinate standard stewardship materials, donor updates, and other fundraising support materials as assigned
CRM, Data Integrity, and Reporting Support
  • Support fundraisers in maintaining accurate, timely, and complete records in Raiser’s Edge NXT in keeping with internal data standards and business rules
  • Help reinforce consistent use of the database across the philanthropy team by supporting data integrity and identifying gaps or follow-up needs
  • Generate reports, queries, mailing lists, and data pulls to support cultivation, solicitation, stewardship, appeals, and event guest list development
  • Assist with tracking fundraising activity, pipeline progress, proposal submissions, stewardship schedules, and other key performance indicators
  • Proactively manage donor and prospect lists to support fundraising outreach and engagement activity
Team Coordination and Administrative Support
  • Assist with coordinating philanthropy team meetings, including scheduling, note-taking, and follow-up tracking
  • Maintain key fundraising calendars, trackers, and shared tools to support team planning and accountability
  • Support the development and upkeep of internal procedures, templates, and workflow documents related to philanthropy activity
  • Provide day-to-day coordination support on selected fundraising projects, campaigns, and team priorities
  • Collaborate with colleagues across departments to support the execution of fundraising activities and donor engagement opportunities

SKILLS YOU WILL NEED
  • 2 - 4+ years of experience in fundraising, advancement, nonprofit administration, or a related role
  • Strong project coordination and administrative skills, with the ability to manage multiple priorities and deadlines
  • Experience supporting fundraising activity such as prospect research, stewardship, grant coordination, donor communications, and CRM management
  • Experience with Raiser’s Edge NXT 
  • Strong attention to detail and commitment to high-quality, accurate work
  • Strong judgment, discretion, and ability to handle confidential donor information appropriately
  • Ability to work collaboratively across teams while also managing work independently
  • Proficiency in Microsoft Office and Google Workspace

EXTRA USEFUL SKILLS THAT YOU MAY HAVE!
  • Knowledge of the Gender Based Violence sector, specifically women’s shelters, is an asset.
  • Advanced understanding and interest in gender studies, including anti-racist, anti-oppressive frameworks and intersectionality of challenges faced by women and particularly survivors of abuse in the local community is an asset.

ROLE DETAILS
  • JOB TYPE: Full-Time, Permanent, Remote
  • COMPENSATION: $ 60,000.00 - 66,250.00 Annually
  • LOCATION: Remote, anywhere in Canada
  • HOURS OF WORK: 35 hours per week (with some evening and weekend availability as needed)
